Position Overview:

This position reports to the Controller and will provide support for all areas of the accounting department. The General Accountant will have various responsibilities and be involved in all administration phases of the company.

Key Responsibilities:

  • Financial management of the assigned construction projects in our project costing and accounting software, including but not limited to setting up the project, entering the budget, managing commitments, managing cash, entering direct costs, and processing and submitting change orders.
  • Perform daily / month end accounting responsibilities for the assigned projects actively under construction.
  • Collects, reviews, and processes subcontractor/supplier monthly project invoices, ensuring proper job coding.
  • Manage compliance with “Davis Bacon” prevailing wage reporting for employees and subcontractors
  • Review material tickets received daily from the field to ensure accuracy of coding for various Inventory items.
  • Review unapproved invoices, code or forward to Project Management Team for coding.
  • Assist payroll, accounts receivable and accounts payable teams with overflow.
  • Support the CEO and Controller with special projects as needed.
  • Review subcontractor insurance certificates, maintain systems and files
  • Assist Subcontractors and Construction team with inquiries
  • Assist and process AIA billings and accounting data entry
  • Assist with Accounts Payable functions
  • Communicate effectively with vendors, subcontractors, and project managers
  • Assist with other administrative and accounting duties as needed
  • Attend project cost review meetings as needed
  • Enter Quantities and Cost Projections into Foundation.
  • Enter Budget Revisions into Foundation after approval from Project Manager.
  • Close out Material and Subcontract Commitments in Foundation.
  • Assist with Accounts Receivable processing, including creating AIA pay applications and lien waivers.
  • Coordinate receipt of inventory and owner supplied materials.
  • Perform monthly reconciliations of various job cost reports.
  • Create and submit invoices to clients
  • Assist with accounts receivable and handle any invoicing issues.
  • Coordinates job billing meeting with Project Manager.
  • Maintains prime contracts and subcontracts, including reconciling status for job closeouts.
  • Assists suppliers and subcontractors with questions on invoices, waivers, and accounts.
  • Reviews vendor invoices and assures that vendors are submitting invoices according to our format that includes substantiating documentation such as waivers, certified payrolls, etc.
  • Enters vendor invoices/billings into system per Project Manager’s approval.
  • Applies equipment costs and labor rates to jobs and completes updates, as needed.
  • Answers owner questions, as required, to address billing questions.
  • Assist in the development of procedures to maintain a proper level of internal controls.
  • Respond to requests for information and analysis from the Project Managers and Project Engineers on various accounting and subcontractor issues
  • Perform account analysis and research variances.
  • Performs ad hoc analysis of accounting transactions, operational performance, and other general ledger accounts.
  • Perform general accounting functions in accordance with company policy.
  • Complete all duties in compliance with the month-end schedule.
  • Perform general job accounting administration and monthly financial closing tasks to meet monthly, quarterly, and annual financial closing requirements and deadlines.
  • Assist in format and content of project specific reports as requested.

Experience and Education:

  • Prior Construction Accounting experience required.
  • 2-4 Year post-secondary degree preferred
  • Excellent analytical, organizational and project management skills
  • Strong organization, oral and written communication skills.
  • Ability to work with all personnel within the organization and facilitate communication effectively
  • Ability to work independently.
  • Ability to be a team player, flexible, and able to work in fast paced and changing environment
  • Construction based accounting software experience.
  • Experience in A/P, A/R, GL, project cost accounting and monthly close process.
  • Experience in MS Excel, Word and Outlook and construction accounting software.
  • Understanding of AIA forms, legal forms, schedules, and accounting requirements specific to the construction industry.
